<h3>Senior Operations Associate</h3>
<h3>About the Role</h3>
<p>We are seeking a highly organized and proactive Operations Associate to support our Canadian operations team. This role involves a mix of administrative coordination, compliance tracking, and office support. The ideal candidate is detail-oriented, adaptable, and comfortable managing a wide range of tasks across departments.</p>
<h3>What You’ll Be Doing</h3>
<ul>
<li>Meet Canadian Federal Government Security clearance requirements to obtain secret clearance</li>
<li>FSC and DSC security clearance</li>
<li>Manage security clearance processes, presentations and incident reporting and audits.</li>
<li>Alarm system – Maintain users and quarterly review</li>
<li>Provide executive support including calendar management, meeting coordination, travel arrangements (flight passes, use and purchase), and reminders.</li>
<li>Process and approve expense claims and purchase requests using Concur and other systems.</li>
<li>Serve as backup for other administrative staff, ensuring continuity of operations.</li>
<li>Maintain attendance records, PTO tracking, and staff service recognition.</li>
<li>Coordinate office operations including supplies, vendor payments and leasehold improvement tracking.</li>
<li>Oversee Controlled Goods compliance including staff vetting and reporting.</li>
<li>Support internal documentation workflows including DocuSign and business card requests.</li>
<li>Assist with staff events, team-building activities and general office logistics.</li>
<li>Respond to ad hoc requests from staff and leadership with professionalism and discretion.</li>
</ul>
<h3>What You Have</h3>
<ul>
<li>Min. 5+ years of experience in an administrative, operations or executive support role.</li>
<li>Advanced knowledge of Canadian Federal Government Security clearance program.</li>
<li>Strong organizational and multitasking skills with attention to detail.</li>
<li>Excellent written and verbal communication skills.</li>
<li>Proficiency with Microsoft Office Suite; experience with Concur, DocuSign and other business tools is an asset.</li>
<li>Ability to handle confidential information and sensitive tasks with discretion.</li>
<li>Comfortable working independently while supporting multiple stakeholders.</li>
</ul>
